Shopify Meta agency handoff checklist for DTC brands
Before a new agency or managed-account provider changes your Shopify and Meta setup, ask for a written map of the assets involved and a test plan for the purchase journey. The handoff should identify who controls each asset, which connections are changing and what will be checked afterward.
For an established DTC store, “we have access” is too vague. A team may be able to edit campaigns while lacking the permissions needed to reconnect the sales channel. The person who can repair the store connection might also be the person about to leave the engagement.
Use this checklist with your store owner, media buyer and technical lead. Its purpose is to make the handoff reviewable before a high-spend period. Billing terms and platform reviews still need their own review; this checklist does not establish eligibility for a new ad account or funding arrangement.
1 Map the assets before requesting access
Make one row for each live asset. Use the identifiers shown in the relevant administration screens, rather than relying on similar-looking names.
| Asset | What the handoff record should show |
|---|---|
| Shopify store | Store URL, owner, authorized administrator and agency access role |
| Meta business portfolio and Facebook Page | Portfolio ID, Page ID, owning business and people with required control |
| Advertising account | Account ID, owning business, billing party, current agency and incoming access scope |
| Meta pixel or dataset | Identifier, controlling business, connected integration and accounts permitted to use it |
| Product catalog | Catalog ID, owning business, Shopify feed or channel, and campaigns relying on it |
| Store domain | Domain, responsible administrator and the business configuration currently using it |
This is an operational worksheet, not a declaration that every listed asset is transferable. Record what each platform actually allows and what the agreement promises at exit. If the provider will own an advertising account, identify which data and reports the brand will retain, and what happens to any remaining balance.

2 Separate the person connecting Shopify from the agency running ads
Shopify’s Meta setup documentation says the connecting Facebook account needs full control of both the business portfolio and the Facebook Page. Those are separate permissions. During onboarding, the selected portfolio must own the Page; a Page owned by a different portfolio may not appear as an available choice. Shopify’s Meta setup guide
Have an authorized person from the brand verify those conditions before the handoff. Do not solve an unclear ownership problem by creating a second Page, a second portfolio or a replacement store connection without understanding the existing setup.
Ongoing agency access should be scoped to the work. If the incoming agency is a Shopify Partner, collaborator access allows a merchant to review permissions rather than share the owner’s login. Shopify requires two-step authentication for collaborators and advises granting only the permissions needed. Review each requested app, channel and store permission with the person responsible for the store. Shopify collaborator accounts
Write down who performs the connection, who operates campaigns afterward and who can restore access if an individual becomes unavailable. Keep passwords, recovery codes and personal account credentials out of the handoff document.
3 Treat the catalog as a shared dependency
Shopify’s Facebook and Instagram by Meta channel uses a single catalog across its connected features. Removing a product from that channel can affect its availability across those features, including advertising. Disconnecting a linked Facebook account can also disconnect active Facebook features. Channel requirements and considerations
Before changing the connection, choose a representative set of products: a standard item, a variant-heavy item, a discounted item and any product type material to the next campaign. For each, record the Shopify product or variant identifier and its matching catalog item. Then check:
- The intended product and variant appear in the catalog.
- Price, currency, availability and destination page match the storefront.
- The landing page opens the intended product.
- The campaign is using the intended catalog and product set.
- A named person owns any rejected or unsynced items.
These sample checks are our recommended acceptance test. They do not substitute for platform product review. Shopify documents how publication status, eligibility and product information affect catalog syncing. Publishing products to Meta
If the only problem is agency permission, ask why a catalog reconnection is proposed. Make each change solve a named problem, and record the expected effect before touching a working connection.
4 Verify the checkout the shopper actually reaches
For Shopify’s Facebook and Instagram channel, Shopify documents the move to the store’s website checkout for new orders from 26 August 2025. It also identifies changed tax responsibilities for merchants. Review the current journey and have the store’s finance owner confirm the applicable tax configuration; do not reuse a launch checklist that assumes Meta completes the checkout. Current channel requirements
Follow the real route from a representative product or ad destination through the storefront and checkout. Test the markets, devices, currencies, discounts and payment methods that matter to the campaign. Record what was tested rather than marking “checkout works” after one page load.
Shopify supports simulated test orders and real orders that are subsequently canceled and refunded. Its guidance warns that processor fees may apply to a real-order test. Test transactions do not behave like ordinary revenue in all reports. Placing a test order
Plan the method with the store owner. Shopify explicitly warns against activating Shopify Payments test mode on a production store: no real payments are captured while it is active, and some methods are unavailable. For a live high-spend store, do not casually switch payment providers or enable test mode to check a pixel. Use an appropriate test environment, or an approved live-test plan with costs and cleanup understood. Testing Shopify Payments
5 Verify the purchase signal separately from the order
An order reaching Shopify answers a commerce question. It does not establish that the intended advertising destination received and processed the intended event.
First, identify the integration responsible for each signal. Record whether the store uses the Meta sales channel, another app, a custom pixel, theme code or more than one route. Shopify warns that leftover pixel code can duplicate tracking and provides migration checks for missing events, changed event definitions and consent settings. Do not add another tracking route simply because a report looks low. Shopify pixel migration guidance
Next, test the selected app pixel in Shopify’s Customer events area with Shopify Pixel Helper. It can show events received and callback errors. Its event names can differ from the destination platform’s names; for example, a Shopify checkout-completion event may map to a purchase event elsewhere. Check the destination’s own diagnostics as well. A successful Shopify callback alone does not prove that the advertising platform accepted or attributed the purchase. Testing app pixels
Use an acceptance record with these fields:
- Test date, environment and responsible operator.
- Journey tested, consent state and approved test method.
- Expected Shopify event and expected destination event.
- Pixel or dataset identifier expected to receive it.
- Value and currency definition.
- Evidence of receipt, any duplication issue and its owner.
- Result: passed, failed or inconclusive, with the next action.
For a system intentionally sending browser and server signals, receiving both is not automatically a defect. Ask the integration owner how they represent one logical purchase and verify the destination’s handling. Avoid claiming duplicate revenue from a request count alone.
6 Review data sharing before copying settings
Shopify offers Standard, Enhanced and Maximum Meta data-sharing settings. Its documentation explains that Enhanced and Maximum use the Conversions API as well as the pixel and can share customer information for matching. Shopify also calls for an up-to-date privacy policy describing the sharing. Meta data sharing in Shopify
Do not make “Maximum” a default acceptance criterion for every store. Have the person responsible for privacy approve the configuration and verify the expected consent behavior. A handoff should preserve the intended policy, not silently expand data sharing to make a test pass.
Agree on the purchase-value definition too. Shopify’s documentation describes tracked order value as the order total, including its specified duties, taxes and discounts. Finance may use a different net-revenue definition. Record the distinction before comparing advertising ROAS with store profitability. Order value in Meta data sharing
7 Decide whether to proceed
Use explicit stop conditions. Delay the proposed change if:
- The owning business for a required Page, account or catalog is unresolved.
- The brand cannot identify who can reconnect the Shopify channel.
- The incoming provider’s requested permissions exceed the agreed scope.
- A catalog item points to the wrong product, currency or destination.
- Purchase-event destination or duplication behavior remains unexplained.
- Checkout testing would interrupt live customers without an approved plan.
- The team has no agreed rollback or offboarding procedure.
These are recommended operating controls. They are not platform approval rules. The decision owner can record a limited exception, its risk and the evidence needed to close it; an unexplained “all green” status is not useful sign-off.
Keep a before-and-after record of the settings that actually change. Schedule the next verification around the purpose of the change: after a successful controlled purchase, after the catalog has synced, or after the responsible administrator has tested their access. Do not promise an arbitrary universal completion time.
8 Agree on the exit before the handoff
Ask the incoming provider to describe offboarding using the same asset map:
- Which assets remain controlled by the brand?
- Which access grants can be removed without disconnecting a required channel?
- Who will be able to manage the store, Page, catalog and event integration afterward?
- What reports, configuration records and billing reconciliation will be available?
- Who verifies the purchase journey and data flow after access changes?
Avoid deleting or reconnecting integrations as a blanket cleanup step. Review each dependency first. A useful exit plan leaves the next operator with a working setup and enough context to understand it.
Frequently asked questions
Does a new agency need the store owner’s password?
Build the access plan around supported user and partner permissions. For Shopify Partners, the collaborator workflow lets the merchant review scope. A request to share the owner’s personal credentials should be challenged.
Should we create a new pixel when changing agencies?
First establish who controls the current asset and whether it can support the intended arrangement. A new pixel adds a measurement change that needs a reason and a test plan. An agency change alone does not establish that need.
Do Shopify orders need to equal attributed purchases in Meta?
Define what each number includes before reconciling them. Orders, event receipts and attributed conversions answer different questions. Investigate discrepancies using a known test journey and consistent date, value and consent definitions.
Bring the handoff questions to a fit review
If your DTC team is evaluating managed ad infrastructure, share your store URL, target platforms, approximate monthly spend and the exact ownership, billing or continuity problem you want to solve. The first conversation should establish fit and the responsibilities that need to be put in writing.

For the billing side of the decision, read the DTC ownership and billing guide. Treat any proposed account access, funding arrangement or technical implementation as a defined scope requiring its own verification.
